The ICS Academic Registrar is responsible for the academic hospitality experienced by students from registration to graduation, in part by managing events related to the cycle of student life (including the Orientation Week at the start of the academic year and the Convocation at the end of the academic year). The Academic Registrar is the school’s lead information resource with regard to academic policy, academic administration practices, and the relevant legislation and government regulations.
The Academic Registrar provides or supervises the following services: student admissions, program enrolment, course registration, student financial aid, academic scheduling, fee and tuition payment, student data reporting, government liaison with regard to international students, and other services as required. The Academic Registrar is accountable for the generation, maintenance, and integrity of student records and student accounts, and supervises the work of Academic Office staff with regard to these records and accounts. The Academic Registrar contributes to student recruitment.
This is an administrative position reporting directly to the Academic Dean, advising and assisting the Academic Dean and supervising other staff in the Academic Office as delegated to do so by the Academic Dean. The Academic Registrar works closely with faculty and other operational staff to ensure a positive academic experience for all ICS students.
ICS is an independent Christian graduate school with a charter from the provincial government of Ontario to grant MA and PhD degrees in philosophy (including an Educational Leadership stream within the MA program), as well as the MWS (Master of Worldview Studies) degree. At ICS, the expertise of our experienced faculty combines with the intimacy of a small school to create a hospitable academic community that welcomes the whole person. Based in the Knox College building at the heart of the historic University of Toronto campus, ICS serves students personably on site in Toronto, online anywhere in the world, and through unique expeditionary learning experiences in Orvieto, Italy and elsewhere.
Advising students on academic administration and financial aid (in person, or by email, phone, or video meeting) and advocating on behalf of students with the Academic Dean and faculty when necessary
Optimizing academic advising practices focused on student recruitment, retention, and progression, in consultation with the ICS Recruitment Coordinator and the Recruitment Crew
Managing course offerings with reference to ICS’s rolling three-year academic plan and ensuring that the available offerings serve students in completing coherent programs of study
Contributing to the academic governance of ICS through voting membership of the ICS Academic Council and its Educational Policy Committee and Financial Aid Committee, and by serving as the Scribe of the ICS Senate
Administratively supervising the process of conferring degrees, diplomas, and certificates to students, including the organization of the annual convocation
Bearing ultimate responsibility for the security, privacy, and accuracy of student records
Developing academic administration practices and procedures that meet the current and emerging needs of ICS
Graduate degree (or equivalent) from a postsecondary institution in a relevant field, such as higher education, non-profit administration, or business management
Effective planning, problem solving, and collaboration skills
Excellent communication skills, both in speaking and in writing, in particular with a view to clear and concise reporting
Proficiency in the collection, management, and analysis of information
Computer literacy, including familiarity with Google Suite applications
Demonstrated ability to deal with complexity, meet deadlines, and work independently
Tact, courtesy, and a commitment to confidentiality (the latter in particular with regard to student records)
Relevant experience and understanding of processes related to student enrolment, financial aid, and academic advising
Knowledge of legislation, regulations, and procedures relating to postsecondary education in Canada
Familiarity with the AmpEducator student information system, Adobe Acrobat, Google Classroom, and Zoom
This position is part-time (.9 FTE), 4.5 days per week. For the purpose of benefits the position is considered a full time position. While much of the work involved can be done remotely, the presence of the Academic Registrar in the ICS office suite at 59 St. George Street, Toronto, Canada is required at least one day per week, on a schedule to be approved by the Academic Dean.
